This policy explains what information the applicant tracking platform collects, why it is collected, and the choices you have. It applies to recruiters and administrators who sign in, and to candidates whose details are managed in the system.
01Information we collect
We collect the information needed to run recruitment for your organisation:
- Account details for people who sign in — name, work email, role and password credentials.
- Candidate records your team adds or receives — contact details, CV and document uploads, screening answers, interview notes and status.
- Operational data the platform generates — activity logs, audit entries and system events used to secure and support the service.
02How we use information
Information is used to provide and secure the service: to authenticate sign-in, move candidates through the hiring pipeline, schedule interviews, generate documents and receipts, and give administrators an accurate audit trail.
We do not sell personal information, and we do not use candidate data to build advertising profiles.
03Sharing and disclosure
Candidate and account data is visible only to authorised members of your organisation, scoped by their role and the clients or vendors they are assigned to.
We share data with third-party providers only where you enable them — for example a payment gateway to collect recruitment fees, or a calendar provider to issue interview invitations. Each provider receives only what its feature requires.
04Data retention
Records are retained for as long as your organisation keeps an active workspace, or as required to meet legal and compliance obligations. Administrators can remove candidate records, and closing a workspace removes the associated data on the schedule described in your agreement.
05Security
Access is protected by encrypted, role-based sign-in. Data is transmitted over secure connections, permissions are enforced on every request, and administrative actions are recorded in an audit log. No system is perfectly secure, so we ask that you keep credentials confidential and report any suspected misuse.
06Your rights
Depending on where you live, you may have the right to access, correct, export or delete personal information held about you. Candidates should direct such requests to the organisation that manages their application; that organisation, as the data controller, will action them through the platform.
